Cost Centers: Cost Centers (or budget codes) help to track and identify orders placed. Cost centers are linked to one or several billing addresses saved in the account. All users can add cost centers during the order flow (regardless of the permissions level). Cost centers can also be set up before ordering. You can do this by selecting "Account" in the top right hand corner and selecting "Addresses" from the drop down. You can then select "Cost Centers" on the top left corner and there will be the option to "Add a cost center". Cost centers will appear when a billing address is selected in the checkout flow. Users will be presented with the cost centers available. Users also have the option to select "None" in the order flow if a cost center is not needed. Cost centers can be saved as a number, text or a combination of the two, depending on your company.
Opting Out of Cost Centers: By default, every account comes with cost centers active. You can also opt to have project codes active, but please note that you need to opt for one of the two options.
Project Codes: Project codes are similar to cost centers. They are budget codes to help track and identify orders placed in your account. Project codes are mostly popular in consultancy companies, that use one time codes per client or project. Similar to Cost Centers, project codes are linked to a billing address saved in the Gelato account. The main differences between the two are:
- project codes are not saved in the account
- users need to input the code manually
- if activated, mandatory when placing an order
Any user can add a project code during the order flow. A project code can be saved as a number, text or a combination of the two, depending on your company.
Can I have a cost center and a project code active at the same time? Customers need to opt for one of the two options. By default, every account comes with cost centers active. It is not possible to have project codes active in your account at the same time.
